Deliverable 1.6: Online demonstration of sample and data request service

09/17/2025

This deliverable documents the EPND Hub’s services for requesting access to datasets and biosample collections. Prepared by Work Package 1, it describes the central Brokerage Service and provides demonstration videos showing how researchers and resource providers interact with different access workflows.

The Brokerage Service was designed to offer a common starting point for requests while accommodating providers’ existing infrastructure, governance and approval procedures. Researchers initiate applications through the EPND Catalogue, with integrated workflows allowing them to follow progress through the “My Requests” interface. Resource providers retain responsibility for reviewing applications and granting access according to their policies and use conditions. As of August 2025, the report records support for requesting more than 110 datasets and 35 sample sets.

For biosamples, the report describes an Expression of Interest as a preliminary step before a formal Sample Access Request. Following approval, researchers can receive additional information to assess sample availability and suitability. Formal agreements and physical sample delivery are arranged directly with the responsible biobank or institution.

The data demonstrations cover requests submitted through EPND, access to datasets hosted through the AD Workbench, and remote access using a Federated and Distributed data Sharing Appliance (FDSA). An email-based workflow also supports providers that retain their established application procedures. Depending on the resource and its conditions, approved access may involve downloading data, transferring data to an AD Workbench workspace, or querying data remotely.

The report additionally describes a planned integration between FDSA and a provider’s Resource Entitlement Management System (REMS). This scenario was still being implemented at the time of reporting and is presented as an envisioned workflow.

Together, the demonstrations show how EPND can coordinate requests across different technical environments while preserving provider-specific access decisions. They also provide practical guidance for researchers and cohort owners using the Hub.
